Back-Office Manager

Karno is looking for an enthusiastic and motivated teammate to help develop the thermal energy business in Belgium.

Karno is a young company that is revolutionizing the thermal energy market in Belgium. Gone are the days of individual boilers and gas or oil heating systems. Karno installs new collective and entirely renewable systems to supply new districts directly with heat and cooling. Karno develops, builds, finances, manages and operates zero-carbon thermal energy networks. 

As we expand, we are seeking a talented and driven Back-Office Manager to join our team and play a crucial role in establishing and streamlining our internal processes.

Your Mission

As the Back-Office Manager, you will be instrumental in developing and managing the administrative backbone of our organization. This role requires someone who can analyze the needs of our back-office operations, set up efficient processes, and recruit the right talent to support our growth. You will oversee finance, HR, and administrative functions to ensure smooth and effective operations. You will not only work for/with Karno but also for a few other companies of the Energy Hub "5 elements.energy" in Brussels.

Finance Management:

  • In cooperation with our external accountant, oversee accounting operations (e.g. reconciliation of balances) ;
  • Streamline the accounting processes with Odoo (supplier invoices : from reception to payment // client invoices : from creation to payment // P&L reporting) ;
  • Create and maintain comprehensive financial reporting ;
  • Create and maintain comprehensive cash-flow reporting.

Human Resources : 

  • In cooperation with our external payroll service, manage payroll processing and ensure timely and accurate payments ; 
  • Ensure onboarding of new employees (contract, account creation, information,...) ;
  • Lead recruitment efforts to attract top talent ;
  • Develop and implement HR policies and procedures ;
  • SPOC for our +/- 25 employees concerning Payroll questions.

Team Management :

There is currently no back-office team but it is your responsibility to determine the staffing needs of the back-office

Administration & Process Development :

  • Develop, and implement efficient back-office processes and procedures.
  • In cooperation with our external assistant: 
    • oversee the administrative processes to support business operations.
    • manage office supplies, equipment, and facilities
    • handle company documentation and records management.

Your profile

  • You have strong organizational and multitasking skills.
  • You are eager to learn and solution-oriented
  • You have a positive attitude , with good communicational skills and are enthusiastic by nature
  • Strong analytical and problem-solving abilities
  • You are native in French. Dutch and/or English are an asset

Your hard skills

  • Master degree in Business Administration, Finance, Human Resources, or a related field.
  • Proven experience in back-office management, preferably in a startup environment
  • Strong understanding of accounting principles and financial reporting
  • Strong understanding of payroll management
  • Knowledge of Odoo is an asset
